Cause: Due to power failure, some Exchange services were stopped on Exchange Server.

Solution: Started those stopped services.

External email accounts can not send emails to Exchange Server group email addresses

This is a security policy. Open Exchange Management Console. Go to Recipient Configuration | Distribution Group, right-click a group name. Click Properties | Mail Flow Settings | Message Delivering Restrictions. The check box Require that all senders are authenticated restricts external accounts from sending emails to this group.

Can NOT send emails to a person from Office Outlook, but can from Outlook Web App

Cause: Outlook saves a cache (offline) address book. It seems to take one or two days to update the cache. After the update, we can send emails to the person from Outlook.

Solution: We can not wait one or two days before sending emails to the person. Click Tools | Account Settings | Change. Clear the check mark in front of 'Use Cached Exchange Mode'. Re-start Outlook.

How do I change my email address in exchange. I need to change from my oldemail@gmail.com to a newemail@gmail.com. I simply am not able to find this setting in my outlook exchange options

AnswerThere are several ways to skin this cat.

1. Change the alias of your account (not recommended unless you are changing the entire name of the account)
2. Add new SMTP address and make it your primary (recommended)
3. Create new account and merge all the Outlook info to the new account (really not recommended)

Open Active Directory Users and Computers mmc
Locate your AD account and right click-->Properties
Click on the Mailbox Store tab
Change the alias
Wait for Recipient Update Services to refresh your email address, check the Email Addresses tab in 15 minutes

Right click on user again, and choose Properties.
Click on the "Email Addresses" tab.
Add the new email address in the same format as your existing email addresses. Leave the old address in place.
Change the default (set as primary) address to the new one.
By doing this, any email sent in on the old address will still be delivered, but all new email will go out with the new address.
uncheck auto update email addresses based on recipient policy, or your primary will be switched back to the alias generated address

We can configure transport rule to restrict send messages.
Apply rule to messages
from a member of team1@xxx.com
Delete the message without notifying anyone
except when the message is sent to member of team2@xxx.com /except when any of the recipients in the To field is a member ofteam2@xxx.com.
We can use Message Delivery Restriction settings to restrict to receive messages.
1. Right click on team1@xxx.com and properties.
2. Navigate to "Message Delivery Restriction".
3. Select only senders in the following list.
4. Add team2@xxx.com to the list.

How to set the Archive settings in Outlook

Outlook has a default setting –

For ‘Inbox’ within ‘Mailbox’, emails are not automatically archived into ‘Archive folders’.

For ‘Sent Items’ within ‘Mailbox’, emails older than 6 months are automatically archived into ‘Sent Items’ within ‘Archive folders’, if you click on ‘Yes’ when you see the prompt every 14 days. Emails which are archived are deleted from Exchange Server immediately, and saved on the local machine, thus those spaces are released on the Exchange Server. (‘6 months’ and ’14 days’ can be changed, if staff like to, by clicking on the ‘Default Archive Settings…’ button.)

To solve the staff’s 2GB limit problem, we could ask our staff to also enable automatic archiving for ‘Inbox’ within ‘Mailbox’ by doing this -

In Outlook, right-click on ‘Inbox’ within ‘Mailbox’, select ‘Properties’. An ‘Inbox Properties’ dialogue box will show up.  Choose the ‘AutoArchive’ tab. Select ‘Archive items in this folder using the default settings’, and click on ‘OK’. Similarly, staff can choose to change ‘6 months’ and ’14 days’ by clicking on the ‘Default Archive Settings…’ button.

When prompted to archive old emails every 14 days, staff should click on ‘Yes’.

An alternative approach is – our staff can drag some old emails from the ‘Inbox’ within ‘Mailbox’ into the ‘Inbox’ within ‘Archive folders’. Those spaces will be released on the Exchange server.

Room calendar management in Exchange email system

In Exchange Management Console, -
Create a Room Mailbox.
If the room does not have an owner, then we can right-click on the Room mailbox and select 'Manage Full Access Permission'. We can add users or user groups.

If the room has an owner, then it is of no use to change anything within 'Manage Full Access Permission'. We have to go to the owner's Outlook. In Calendar, we right-click on the Room, and select 'Change Sharing Permissions'. Add users or user groups, and change permissions.

Microsoft Exchange Server reported error (0x8004010f)

Cause: Outlook tries to download the offline address book which is not necessary.
Solution:
How to turn off the option to download the offline address book?
1. On the Tools menu, point to Send/Receive, point to Send/Receive Settings, and then click Define Send/Receive Groups.
2. Click Edit.
3. Click to clear the Download offline address book check box, and then click OK.
4. Click Close to close the Send/Receive Groups dialog box.

How to configure auto-forwarding for staff?

1. On Exchange Server, open 'Exchange Management Console'.
2. Under 'Recipient Configuration', click on 'Mail Contact'.
3. Right-click on it, and select 'New Mail Contact'. Add the other email address of the user.

Can not log in email accounts with Exchange Server

Symptom: Failed to log in, after entering username and password.
Solution: Go to Windows Domain Server. Remove the tick before 'User must change password'. Tick 'Password never expires'.

Connecting Finch Outlook to Midland Exchange Server

1. In the 'HOSTS' file, add '(IP address)      mailserver.csis3852.local'.
2. Log in with the employee's 3850 account.
3. Open 'Control Panel / Mail'.
4. Add a new email account, manually, not automatically.
5. For 'Server Name', enter 'mailserver.csis3852.local'.
6. For User Name, enter the employee's first name. Click on 'Check User Name' button.
7. For User Name, enter 'csis3852\(email user name)'. Enter the password.
8. Done.
